Advertising Events

Welcome to the Communications and Events online advertising page!  We hope that the information provided on this site will help you successfully advertise your event at Garrett-Evangelical.  This website is intended as a resource page for students, staff, and faculty of the seminary who are planning events that will be hosted at the seminary.  If you need help planning an event, please go here.  If you are an outside vendor or person looking to host your event at Garrett-Evangelical, please contact the Communications and Event Planning Office at 847.866.3866.


Our goal is to work with you to successfully advertise your event.  We can provide many forms of advertising including social media (facebook and twitter), mass emails, and printed materials.

If you have all of the information you need for your event advertisements, you may fill out the online event advertising form which can be found here. This form will provide the communications office with the specific components of your event.  If you have any questions about the form, please feel free to contact us.

Planning Your Advertisement

Typically, it is best to start the advertising component of your event three to four months in advance.  Some events, such as multi-day conferences require more planning before advertising can be produced while others, such as an hour long lecture, can be arranged in much less time.  Generally, the communications office needs two to three weeks to create, edit, and distribute advertisement materials.  Additionally, deadlines for submitting advertisements in magazines such as Sojourners and Christian Century are approximately two to three months prior to the publication date.  If you are interested in advertising outside of the Garrett-Evangelical community give us a call and we will work with you to determine the deadlines and requirements for outside advertising venues.

Preparing Your Project

Once we are acquainted with your event, we will begin brainstorming the best ways to advertise it.  Some questions to think about that can help focus our efforts are:

  • What is the goal of the event?
  • Who is the intended audience?
  • Should this be advertised beyond the Garrett-Evangelical community?
  • What is the time frame?
  • What existing written content should be included in the publicity? Does it need to be edited?
  • Who will approve publicity related to this event?
  • Is the artwork that I want to use copyright protected?

Text and Artwork

Event coordinator(s) usually write the text for their own advertisements, but we are happy to help you create the text.  Text can be submitted through the form or by emailing it to We strive to ensure that appropriate language and grammar are used in advertisements and that all of the information is correct.  You can help us by confirming the date(s), time, and location of the event.

If you have artwork (including photography) that will be used in your advertisements, please email it to us or upload it through the online event advertising form.  If you do not yet have artwork, we are happy to work with you to find some.  Artwork that will appear on electronic advertisements should be at least 150kb to display properly online.  Artwork that will be used in printed advertisements should be at least 1MB to ensure clarity.

Our Plan

When advertising within the Garrett-Evangelical community, the advertisement plan usually involves the following:

1. As soon as we are able, we will post your event on Campusweb and the Events Calendar on Garrett-Evangelical's website.
2. Two to five weeks before the day of event, printed flyers/posters are posted on various bulletin boards around campus.  You may also order extra copies to distribute elsewhere.
3. One to two weeks and one to two days before the event we will send out a reminder over the seminary listservs.
4. One to two weeks and one to two days before the event we will promote your event on and
